In the first quarter of 2025, our focus is making Projectworks even more flexible to serve your unique business needs. With constant instability in the global political, economic, and environmental climates, it’s more important than ever to be able to manage your projects the way you want, to steer away from risk and optimize your margins.

We increased flexibility last year by adding custom fields to invoices and expenses, and adding the ability to filter, group, and show custom fields for project, project budget, and timecode on additional screens.

In February, we’ve built on this by adding custom fields to contacts, and adding a new revenue calculation option to people margin reporting.

Customize your contacts

You can now add custom fields to contacts. Add a new custom field via Settings > Custom Fields. These custom fields can be shown as columns, filters, and groups to make it easier to view your contacts as required - saving you time when you’re looking for important information in the system!

Once you create a new custom field for a contact, you can choose whether the field displays on the Contacts and/or Company > Contacts list screens.

In this example, a new custom field is being added to the Contact entity. In the first gray box, you can choose which list screens the contact field is shown on.

Additionally, MergeFields can be created for your contact custom fields, so that they can be added to your invoice, invoice breakdown, and quote templates.

Learn more about contact custom fields.

Updated revenue calculation in people margin reporting

Based on your feedback, we’ve also added a new revenue calculation for people margin reporting, so that you can choose to include or exclude non-billable hours x rate.

Previously, there was no option to exclude the burn rate of non-billable time worked on billable projects, which inflates a person’s margin. Take a deep dive into revenue calculations in Projectworks.

Note that a new revenue calculation has been added to the People Margin reporting: Value of billable work (which excludes written-off and non-billable hours).

Keeping your data secure and accessible

To ensure Projectworks remains modern, performant, stable, and secure, we have implemented a .NET Core upgrade to the product.

Don't worry, this “under the hood” upgrade supports platform function and will not noticeably impact your user experience. However, if you do notice any issues, please contact us at [email protected].

💡Projectworks tip: Consolidate line items on your invoice

Sometimes, clients might want a single line item on the invoice - they don’t particularly care about the individual line items that contribute to the total. There is an easy way to do this in Projectworks - simply create a new invoice, select “More options”, and check the box that reads “Consolidate line items with the same description and rate on the invoice PDF“.

When creating a new invoice, check “Consolidate line items with the same description and rate on the invoice PDF“ and update all line item descriptions to the same text.

Once this is checked, simply update the description of each line item to match, then download your PDF.

Note the single line item with the consolidated dollar amount.

Looking ahead

If you’re a current Projectworks user, you can’t miss this upcoming webinar on planned upgrades to project budgets and pricing, including:

  • How to build a project budget flexibly at the budget line/timecode level
  • How the new budgeting functionality lets you budget for projects involving a combination of fixed fee and T&M work
  • How “shadow resources” will be renamed “placeholders”, which can be allocated timecodes.

”When new work comes in, we have the right people, ready to go. Winning work and protecting the team, we never have to choose just one.” How often can you confidently say the same? Facing resourcing questions about upcoming projects can sound simple, but if your schedules are built on assumptions and capacity is only estimated, face it, your resource planning is under-engineered!

Double Your Revenue Growth With Effective Resource Planning

Your sales pipeline and marketing funnel are important as a source of leads and revenue, but the real driver of growth for your consulting firm may be from an unexpected source: effective resource planning. Building an efficient lead-to-close system will drive revenue, but if you can’t deliver the work efficiently and profitably, your firm isn’t actually growing; it’s just getting more busy.
