Driving Australia’s Economic Development With Expert Advisory

Founded in 2022, Projectick is a Queensland-based consulting firm helping owners and contractors in the resources, energy, and infrastructure sectors shape projects that benefit regional Australia.

Under the leadership of Managing Director Rob McCahill, Projectick brings 25 years of experience across pre-contracts, design management, estimating, and delivery. Rob has overseen major tenders, feasibility studies, design and construction for some of Queensland’s largest mining and civil contractors - always with a focus on rigor, collaboration, and practical problem solving.

“We’re here to make projects successful for everyone involved - owners, contractors, and communities.”

Projectick’s mission was clear: deliver top-tier advisory work to develop the regions. But its tools weren’t keeping up. Projectick needed modern invoicing and billing software that would simplify admin, unify project data, and accelerate cash flow.

Switching from WorkflowMax to Modern Billing Software Cut Down on Admin

Projectick had been using WorkflowMax for time and cost tracking. When Xero announced its acquisition and rebuild by Bluerock, Rob and his team searched for professional invoicing software that could do more than basic billing.

Several vendor trials fell short. Meanwhile, a few staff kept “secret spreadsheets,” creating gaps in accuracy and trust.

“We were using WorkflowMax from Xero. When it was retired, we ran vendor trials but none gave us confidence they could do what we needed.”

Connecting Professional Invoicing Software with Xero Saves 20 Hours Per Month

Projectick implemented Projectworks in early 2024 to regain control over project data, invoicing, and reporting.

The team migrated historical data from WorkflowMax, configured budgets and billable expense codes, and set up permissions and roles for its growing team. The Xero integration in their new billing software for consultants meant invoices were created instantly when timesheets were approved.

“Most people just used Projectworks out of the box. The integrations worked. Once we set it up right, it’s been really good.”

Weekly client spend reports now come straight from Projectworks, showing hours, costs, and progress without manual workarounds.

Simpler Month-End With Automated Invoicing and Billing Software

For Projectick, Projectworks is more than professional invoicing software - it’s an operational engine that enables precision, transparency, and stability.

Time savings of 20 hours per month
Rob estimates that automated project invoicing and Projectworks' deep Xero integration save over two working days each month across the team.

Instant invoicing and faster cash flow
Professional invoices are issued almost immediately after timesheets are submitted. Month-end close now takes hours, not days.

One source of truth
Project and finance information now live in one system, eliminating spreadsheet duplication.

Clearer margins and reporting
The team tracks profitability in real time and delivers weekly client summaries with confidence.

“It just works. We can generate invoices almost instantly after timesheets are done and the Xero integration is excellent. The big win is getting out of spreadsheets - people enter time daily, the data’s all in one place, and month end is simpler.”
- Rob McCahill, Managing Director, Projectick

What began as a software transition became a strategic upgrade - helping Projectick reduce admin and spend that valuable time helping deliver projects that drive regional development across Australia.

Maintaining Project Profit Margins in a Rapidly Changing Services World

With Projectworks in place, Projectick is rebranding into three specialist streams - Mining, Power, and Infrastructure - each supported by Projectworks' invoicing and billing software and multi-entity Xero integration.

Finance is simpler, staff are more engaged, and clients benefit from transparent reporting - putting them in a strong position to meet the future trends shaping Queensland’s infrastructure and resource sectors, including:

1. The 2032 Brisbane Olympics as a Major Construction Driver

Rob emphasized that the upcoming Olympic Games will dominate the construction landscape in Queensland over the next decade. The event represents a massive pull on resources, with the scale of infrastructure required - from transport and venues to power - likely to absorb much of the region’s skilled labor and materials.

“It’s all about the Olympics - that’s just going to suck up so much resource into construction.”

2. Major Growth in the Australian Power and Energy Sector

Rob expects the power sector’s construction boom to continue for years, running in parallel with Olympic and infrastructure development.

“The power sector has got massive construction - we’ve got the largest ever infrastructure project in North Queensland as a power project.”

3. Continued Focus on Regional Development and Specialist Work

Looking beyond the immediate construction wave, Rob foresees sustained demand for high-skill, problem-solving advisory work in regional Australia - especially in mining, power, and infrastructure.

Projectick plans to sustain their current size and impact through efficient systems, expert delivery, and regional impact.

“We’re not chasing growth - we’re chasing good work. Our rebrand will focus on mining, power, and infrastructure.”

”When new work comes in, we have the right people, ready to go. Winning work and protecting the team, we never have to choose just one.” How often can you confidently say the same? Facing resourcing questions about upcoming projects can sound simple, but if your schedules are built on assumptions and capacity is only estimated, face it, your resource planning is under-engineered!

How Projectick Saved 20 Hours a Month with Smarter Invoicing and Billing Software

When Queensland’s Projectick outgrew its old systems, it needed software that worked as hard as its projects do.

Double Your Revenue Growth With Effective Resource Planning

Your sales pipeline and marketing funnel are important as a source of leads and revenue, but the real driver of growth for your consulting firm may be from an unexpected source: effective resource planning. Building an efficient lead-to-close system will drive revenue, but if you can’t deliver the work efficiently and profitably, your firm isn’t actually growing; it’s just getting more busy.
